Job Title: Accounts Payable Clerk / Administrative Assistant (Construction Office)

Position Summary
We are seeking a versatile and detail-oriented Accounts Payable / Administrative Assistant to support both our accounting and administrative functions. This role is ideal for someone who enjoys working with numbers while also helping keep the office running smoothly. The successful candidate will handle financial transactions, maintain accurate records, and assist with general office duties.
Key Responsibilities
Accounts Payable (Construction Focus):
- Match invoices with purchase orders and receiving documentation
- Review, code, and process vendor and subcontractor invoices
- Reconcile vendor statements and resolve discrepancies
- Maintain vendor records, including W-9s and contact information
Administrative Support and Office Coordination:
- Answer phones, greet visitors, and manage incoming communications
- Assist with permits, licenses, and compliance tracking
- Order office supplies
- Manage incoming and outgoing mail, deliveries, and packages
- Maintain organized filing systems (digital and paper)
- Assist with employee paperwork, onboarding documents, and timesheets
- Provide general support to accounting and operations teams as needed
Qualifications
- High school diploma or equivalent (Associate’s degree in Accounting, Business, or related field a plus)
- Strong data entry skills with high level of accuracy
- Strong attention to detail, organization, and multitasking skills
- Ability to meet deadlines in a fast-paced environment Proficiency in Microsoft Office, especially Excel
Preferred Qualifications
- 1–3 years of accounts payable, bookkeeping, or administrative experience (construction office a plus)
- Experience with accounting or construction software (e.g., QuickBooks, Sage, Procore, or similar)
- Strong communication and problem-solving skills
- Ability to work independently and prioritize tasks effectively
