Accounts Payable & Human Resources Specialist

The Accounts Payable and Human Resources Specialist performs professional accounting work related to accounts payable for the Corporation and the HealthChoices program, while also supporting key human resources functions. This role ensures accurate financial transactions, regulatory compliance, and effective employee record and benefits administration.

Core Responsibilities Accounts Payable Operations

Manages all accounts payable activities to ensure accurate processing, timely vendor payments, and compliance with financial policies.

· Process purchase orders, invoices, packing slips, and shipping documentation.

· Review, code, allocate, and enter invoices into the accounting system.

· Reconcile vendor invoices and resolve discrepancies through vendor communication.

· Prepare bi-monthly vendor payments, including check printing and electronic payments.

· Verify company credit card transactions and employee expense reimbursements.

· Maintain vendor records, approve new vendors, and manage 1099 reporting.

· Track capital assets and assist with procurement contracts and compliance requirements.

Financial Controls & Reporting

Supports strong internal controls, compliance, and accurate financial reporting across accounting functions.

· Confirm CFO approval prior to invoice payment.

· Review invoice registers with Corporate Accounting Director.

· Assist with month-end closing, accruals, and annual audit documentation.

· Manage electronic banking files and payment procedures.

· Coordinate vendor exception reporting with IT staff.

Human Resources Administration

Supports human resources operations by maintaining accurate employee records, benefits administration, and policy compliance.

· Assist with employee onboarding and off-boarding documentation.

· Maintain personnel files in accordance with legal and organizational standards.

· Monitor employee time-off requests and leave balances.

· Maintain confidentiality of personnel and payroll records.

Employee Benefits & Support

Provides administrative support for employee benefits programs and serves as a resource for benefit-related inquiries.

· Support employee enrollment and termination in health insurance, retirement, AFLAC, and FSA programs.

· Administer FSA and HRA reimbursements and documentation review.

· Educate employees on benefit offerings and coverage options.

· Review eligible benefit expenses and facilitate reimbursement payments.

Policy Compliance & Professional Development

Ensures compliance with personnel policies and remains informed of regulatory and legal updates.

· Monitor adherence to personnel policies and procedures.

· Provide employees access to and guidance on personnel policies.

· Participate in continuing education and training related to HR and accounting.

· Maintain corporation vehicle logs and fleet card records.

Qualifications

· Associate’s degree or higher in accounting, business, or related field.

· Minimum of three (3) years of experience in accounting and/or human resources.

· Demonstrated experience with Accounts Payable functions.

· Knowledge of HR functions, benefits administration, and personnel compliance.

· Strong communication and organizational skills.

· Proficiency with accounting software (QuickBooks preferred) and Microsoft office products.

Pay: From $52,500.00 per year

Experience:
