Job Summary
We are seeking an experienced Accounts Payable & Payroll Administrator for an oil & gas EPC construction project in Qatar.
The selected candidate will be responsible for end-to-end accounts payable processing and payroll administration, ensuring timely and accurate vendor payments, employee payroll processing, and compliance with company policies, project procedures, and local regulations. The role requires close coordination with Finance, HR, Procurement, Site Administration, and Project Management teams.
Key Responsibilities:
Accounts Payable
- Process and verify supplier invoices, purchase orders, and payment requests.
- Ensure accurate coding and posting of invoices into the ERP system.
- Prepare payment schedules and coordinate timely vendor payments.
- Monitor accounts payable aging and follow up on outstanding issues.
- Maintain proper documentation and filing of all payable transactions.
Payroll Administration
- Prepare and process monthly payroll accurately and within deadlines.
- Verify attendance, leave records, overtime, deductions, and allowances.
- Ensure compliance with company policies and applicable labor regulations.
- Coordinate with HR regarding employee additions, terminations, and payroll changes.
- Generate payroll reports, payslips, and salary transfer files.
Vendor Reconciliation
- Perform monthly vendor statement reconciliations.
- Investigate and resolve discrepancies between supplier statements and company records.
- Coordinate with procurement and vendors to clear outstanding items.
- Maintain reconciliation schedules and supporting documentation.
ERP Accounting Entries
- Record journal entries and accounting transactions in the ERP system.
- Update master data related to vendors, employees, and chart of accounts.
- Ensure accuracy and completeness of financial records.
- Assist in month-end and year-end closing activities.
- Generate financial and management reports from the ERP system.
Financial Controls & Compliance
- Ensure adherence to internal controls and company financial procedures.
- Support internal and external audit requirements.
- Maintain confidentiality of payroll and financial information.
- Assist in process improvement and automation initiatives within the finance function.
Qualifications & Experience
- Bachelor's Degree/ master's in accounting, Finance, or Commerce.
- 3–5 years of experience in Accounts Payable, Payroll, and Reconciliation functions.
- Experience working with ERP systems (SAP, Oracle, Dynamics, Odoo, or similar).
- Strong knowledge of accounting principles and payroll processes.
- Advanced proficiency in Microsoft Excel & Office.
