Job Title: Accounts Payable Specialist

Department: Accounting
Reports To: Controller

Position Summary

The Accounts Payable Specialist is responsible for the accurate and timely processing of accounts payable transactions, including vendor invoices, expense reports, and payments. This role ensures compliance with company policies, accounting standards, and internal controls while maintaining positive relationships with vendors and internal departments. The ideal candidate is bilingual, detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities

· Review and verify invoices and check requests

· Sort, code and match invoices

· Enter invoices into accounting system

· Set invoices up for payment

· Process expense reports

· Prepare and process transfers for payment

· Prepare and perform check runs

· Post transactions to journals

· Reconcile accounts payable transactions

· Prepare analysis of accounts

· Monitor accounts to ensure payments are up to date

· Research and resolve invoice discrepancies and issues

· Maintain vendor files

· Correspond with vendors and promptly respond to inquiries

· Assist with month end closing of accounts payable

· Occasional phone coverage

· Potentially other accounting duties as needed

Qualifications

  • High school diploma or equivalent; associate or bachelor’s degree preferred.

· Minimum of 5 years of accounts payable experience.

  • Bilingual (English/Spanish required).

· Solid understanding of accounts payable processes, general ledger coding, and internal controls

· Experience processing high-volume invoices with accuracy and efficiency

· Proficiency in accounting software and ERP systems (e.g., Sage, or similar)

· Strong Microsoft Excel skills and general proficiency in Microsoft Office

· Excellent attention to detail and organizational skills

· Ability to manage multiple priorities and meet deadlines in a fast-paced environment

· Strong communication and interpersonal skills for effective interaction with vendors and internal teams

· Ability to work independently with minimal supervision and exercise sound judgment

· High level of integrity and commitment to confidentiality

Work Environment & Schedule

  • Onsite
  • Monday- Friday 7:00am – 3:30pm

Salary Range

· $30 - $32 per hour

Job Type: Full-time

Pay: $30.00 - $32.00 per hour

Expected hours: 40 per week
