Accounts Payable Specialist

Job Summary: The Accounts Payable Specialist provides financial, administrative, and clerical support to the Firm by ensuring the accurate and timely processing of accounts payable transactions. This role requires the ability to work both independently and collaboratively within a team, exercise sound judgment in a fast-paced, deadline-driven environment, and maintain a high level of confidentiality due to the sensitive nature of the work.


Essential Job Duties:

  • Respond to vendor and internal inquiries; research and resolve discrepancies or concerns
  • Review and process both billable and non-billable vendor requests for accuracy and compliance using Chrome River or other Firm software
  • Verify supporting documentation for expenditures, including receipts and proper approvals
  • Schedule and process payments via check, wire transfer, direct/indirect ACH, or Emburse; upload files and resolve any processing errors
  • Monitor, investigate, and follow up on stale-dated checks
  • Reconcile credit card activity issued through Integrated Payables
  • Prepare data for annual 1099 reporting, including verifying vendor setup and compliance
  • Assist with updating and mapping third-party integration software
  • Research and reconcile vendor statements with open accounts payable invoices
  • Process all Foreign Associate invoices and coordinate payment with third-party vendors
  • Provide support to front-end users of accounts payable systems
  • Assist with other departmental functions and special projects as needed


Minimum Requirements:

  • Associate’s degree in Accounting or equivalent related work experience required
  • 3–5 years of recent accounts payable experience required
  • Demonstrated experience successfully managing accounting-related projects
  • Ability to analyze, process, and organize data to develop effective solutions
  • Solid understanding of general accounting principles
  • Prior experience in the legal industry is a plus
  • Excellent interpersonal skills with the ability to interact courteously and effectively with a diverse group of individuals at all organizational levels
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Strong attention to detail and a high level of accuracy
  • Ability to manage time effectively and handle multiple tasks simultaneously
  • Comfortable working in a fast-paced environment and adapting to shifting priorities
  • Must be able to perform all essential job duties

Equipment Operated:

This position requires extensive use of a computer and telephone. This position also requires the use of printing, copying, faxing and scanning equipment.

Ability to communicate effectively, verbally and in writing, with a diverse group of people.


Work Environment:

While performing the duties of this job, the employee may be exposed to weather conditions while traveling. The noise level in the work environment is usually moderate.
