Accounts Payable Specialist

Position Summary

We are seeking a detail-oriented and analytical Accounts Payable Specialist to join our Finance team. This role is responsible for managing vendor accounts, processing invoices, resolving discrepancies, and ensuring timely and accurate payments. The ideal candidate will have experience handling freight and import invoices, working within vendor portals, maintaining organized financial records, and supporting reconciliation and payment processes in a fast-paced environment.


Essential Duties and Responsibilities

  • Process high-volume invoices related to import containers, ocean and air freight, drayage, and customs brokerage.
  • Review and validate invoices against purchase orders, bills of lading, receiving records, and supporting documentation.
  • Ensure accurate allocation of landed costs, including freight, duties, tariffs, and related fees.
  • Research and resolve discrepancies involving pricing, quantities, freight charges, and billing errors.
  • Reconcile vendor statements, including domestic and international suppliers, carriers, and service providers.
  • Manage vendor and freight forwarder portals for invoice retrieval, payment tracking, and communication.
  • Prepare and process weekly payment runs, including checks, ACH, and domestic/international wire transfers.
  • Collaborate with Purchasing, Logistics, and Warehouse teams to resolve receiving and invoicing issues.
  • Assist with month-end close activities, including accruals for in-transit shipments and unbilled freight expenses.
  • Maintain accurate, organized, and audit-ready records for all accounts payable and import transactions.
  • Respond to vendor and carrier inquiries in a timely, professional manner.
  • Support continuous improvement initiatives within the accounts payable process.


Required Qualifications

  • Minimum of 2 years of Accounts Payable experience, preferably in a distribution, logistics, or high-volume environment.
  • Hands-on experience processing freight invoices, import payables, or logistics-related billing.
  • Strong understanding of three-way matching (purchase order, receipt, and invoice).
  • Excellent attention to detail with strong analytical and problem-solving abilities.
  • Experience reconciling vendor statements and resolving discrepancies.
  • Proficiency with accounting systems/ERP platforms and Microsoft Excel.
  • Strong written and verbal communication skills.
  • Highly organized with the ability to prioritize multiple tasks and meet deadlines.


Preferred Qualifications

  • Experience in the RV, manufacturing, or distribution industry.
  • Familiarity with international shipping terms (Incoterms), customs documentation, duties, and tariffs.
  • Experience with container shipments and landed cost allocation.
  • Exposure to freight forwarders, customs brokers, and global suppliers.


Work Environment

This role is primarily office-based and may require extended periods of sitting, computer use, and communication with internal departments and external vendors.
