Accounts Payable Specialist

Carolina PRG is working with a well-established organization to identify an experienced Accounts Payable Specialist to join their accounting team. This role supports day-to-day AP operations and works closely with internal departments and external vendors to ensure accurate, timely, and compliant payment processing.

Key Responsibilities

• Review, verify, and process vendor invoices with a high level of accuracy, ensuring proper coding and approval prior to payment
• Match invoices to purchase orders and receiving documentation; investigate and resolve discrepancies
• Process vendor payments via check, ACH, and wire transfers in accordance with payment terms
• Maintain accurate and organized AP records, including vendor files and supporting documentation
• Respond to vendor inquiries regarding invoice status, payment timing, and discrepancies
• Monitor AP aging and ensure timely payments to maintain positive vendor relationships
• Reconcile vendor statements and resolve outstanding balances or variances
• Assist with month-end close activities, including AP reconciliations and accruals
• Ensure compliance with internal controls, company policies, and audit requirements
• Support internal and external audit requests as needed
• Identify opportunities to improve AP processes, efficiency, and internal controls
• Assist with vendor setup and maintenance, including W-9 collection and verification
• Collaborate with purchasing, receiving, and operations teams to resolve invoice and payment issues
• Maintain and update Accounts Payable-related standard operating procedures (SOPs)

Qualifications

• Associate or Bachelor’s degree in Accounting, Finance, or Business Administration
• 3–5+ years of experience in Accounts Payable or general accounting
• ERP system experience required (NetSuite preferred)
• Strong understanding of basic accounting principles
• Experience with invoice matching, accruals, and month-end close preferred
• High attention to detail and strong organizational skills
• Effective written and verbal communication skills
• Proficiency in Microsoft Excel and other Microsoft Office applications
• Experience in manufacturing, distribution, or a similar environment preferred
