Position Overview:
The Accounts Payable / Accounts Receivable Specialist is responsible for managing full-cycle accounts payable and receivable processes to ensure accurate and timely financial transactions, maintain positive relationships with vendors and customers, and support month-end close activities. This role works closely with internal teams to maintain strong financial records and support cash flow management.
Key Responsibilities:
Accounts Payable(AP)
· Review, verify, and process vendor invoices for accuracy and proper authorization.
· Match invoices against purchase orders and receiving documentation.
· Prepare payment runs including checks, ACH, and wire transfers on schedule.
· Maintain vendor records and ensure timely resolution of vendor inquiries.
· Reconcile vendor accounts and statements monthly.
· Support month-end AP close activities and accruals.
Accounts Receivable (AR)
· Generate and send customer invoices accurately and timely.
· Record and apply customer payments including checks, ACH, credit card, and wire payments.
· Monitor accounts receivable aging and follow up on overdue accounts.
· Communicate with customers to resolve billing discrepancies and payment issues.
· Prepare AR reports to support cash flow forecasting and month-end close.
General Duties & Support
· Reconcile AP/AR sub-ledgers to the general ledger.
· Assist with month-end and year-end close processes.
· Provide data to support budgeting and forecasting.
· Maintain organized records to ensure audit readiness.
· Support internal controls and process improvements.
Qualifications:
· Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
· 2–5 years of AP/AR or general accounting experience.
· Proficient in accounting software (Sage preferred).
· Proficient in Microsoft Excel (formulas, reconciliation, basic reporting).
· High level of accuracy, attention to detail, and organizational skills.
· Ability to meet deadlines in a fast-paced environment.
