American Recycling is an established R2V3 -certified electronic and metal recycling company serving customers across the United States. We are seeking an experienced, dependable, and highly organized Accounts, Payroll & Office Manager to oversee our accounting and payroll functions while providing executive support to the President. This position is ideal for someone who enjoys a combination of office management, accounting, and hands-on administrative responsibilities.
Position Summary
The Accounts, Payroll & Office Manager will be responsible for managing the company's accounting, payroll, office administration, and executive support functions. The successful candidate must be comfortable handling both indoor office duties and occasional outdoor business errands, including banking, insurance matters, government offices, and other business-related tasks.
Key Responsibilities: Accounting & Finance
- Maintain the company's accounting records using QuickBooks Online.
- Process Accounts Payable and Accounts Receivable.
- Reconcile bank and credit card accounts.
- Prepare financial reports and assist with month-end and year-end closing.
- Maintain accurate accounting records and supporting documentation.
- Coordinate with external CPA for tax preparation and financial reporting.
Payroll Administration
- Process bi-weekly payroll accurately and on time.
- Maintain payroll records and employee files.
- Process new hires, employee changes, and terminations.
- Prepare payroll reports and ensure compliance with payroll regulations.
Office Management
- Manage daily office operations and administrative functions.
- Maintain office supplies and equipment.
- Coordinate with vendors, customers, and service providers.
- Organize company records and maintain filing systems.
Executive Support
- Assist the President with daily business operations.
- Schedule meetings and appointments.
- Prepare reports, correspondence, and presentations.
- Follow up with customers, vendors, and government agencies.
- Handle confidential information professionally.
Business & Outside Duties
- Visit banks to make company deposits and conduct banking transactions.
- Coordinate insurance policies, claims, and renewals.
- Assist with business licenses, permits, taxes, and regulatory filings.
- Visit government offices and other agencies when required.
- Perform other business-related errands as assigned.
Required Qualifications
- QuickBooks Online Certification is preferred.
- Minimum 5 years of accounting and payroll experience.
- Strong knowledge of bookkeeping, payroll, and financial reporting.
- Experience with payroll tax filings and compliance.
- Excellent Microsoft Excel, Word, and Outlook skills.
- Strong organizational and time management abilities.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality.
- Valid driver's license with a clean driving record.
- Ability to travel locally for banking and business-related errands.
Preferred Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, or Business Administration.
- Experience in manufacturing, recycling, logistics, or industrial operations.
- Knowledge of taxes ,insurance, and legal matters.
- Experience working with small to medium-sized businesses.

Full-Time
Monday–Friday(Occasionally may be required on Saturdays)

Pay: $60,330.63 - $65,000.00 per year
