Accounts Receivable / Accounts Payable and Contracts Administration

Job Description: Accounts Payable/Receivable, Contracts Manager, and ReceptionistPosition Overview

We are seeking a highly organized and detail-oriented individual to join our team as an Accounts Payable/Receivable, Contracts Manager, and Receptionist. This multifaceted role combines financial management, contract administration, and front-office responsibilities to support the smooth operation of our organization. The ideal candidate will excel at multitasking, possess strong communication skills, and thrive in a fast-paced environment.

Key ResponsibilitiesAccounts Payable/Receivable

  • Process and manage accounts payable, including invoice verification, coding, and payment processing in compliance with company policies.
  • Handle accounts receivable, including issuing invoices, tracking payments, and following up on overdue accounts.
  • Reconcile vendor statements and resolve discrepancies in a timely manner.
  • Maintain accurate financial records and assist with month-end closing processes.
  • Check data accuracy in orders and invoices, ensuring error-free documentation.
  • Contact clients to obtain missing information or answer queries related to invoices or payments.
  • Maintain and update customer records in the financial system.
  • Prepare and analyze financial reports related to AP/AR as needed.

Contracts Management

  • Draft, review, and manage contracts, ensuring compliance with organizational and legal requirements.
  • Maintain a centralized contract database, tracking key dates, renewals, and obligations.
  • Coordinate with internal departments and external vendors to ensure contract terms are met.
  • Assist in negotiating contract terms and conditions under the guidance of senior management.
  • Monitor contract performance and resolve issues related to contractual agreements.

Receptionist and Administrative Duties

  • Answer multi-line phone system, directing calls to appropriate personnel and providing professional customer service.
  • Serve as the first point of contact for visitors, clients, and staff, ensuring a welcoming experience.
  • Process orders via email or phone, ensuring accuracy and timely execution.
  • Work with programs to order products for clients, staying up-to-date with new products and features.
  • Communicate important feedback from customers internally to relevant teams.
  • Schedule appointments, meetings, and conference rooms as needed.
  • Maintain office supplies inventory and coordinate with vendors for restocking.
  • Perform general administrative tasks, including filing, data entry, and document preparation.
  • Liaise with the Logistics department to ensure timely deliveries of products or services.

Additional Responsibilities

  • Demonstrate keen attention to detail, with an ability to spot errors in financial records, contracts, or orders.
  • Utilize strong data entry skills to input and manage information accurately across systems.
  • Apply strong analytical and organizational skills to prioritize tasks and manage workflows efficiently.
  • Collaborate effectively with varying seniority levels, including staff, managers, and external partners.

Qualifications

  • Proven work experience in accounts payable/receivable, contract management, office administration, or a related field.
  • Hands-on experience with CRM software and MS Office (MS Excel in particular).
  • Ability to multitask and utilize multiple software platforms simultaneously.
  • Excellent organizational and multitasking skills with good time management abilities.
  • A team player with a high level of dedication and commitment to team goals.
  • Ability to work under strict deadlines in a fast-paced environment.
  • Must be punctual with excellent attendance.
  • Familiarity with accounts payable/receivable and contract administration is a plus.
  • Ability to handle confidential information with discretion.

Working Conditions

  • Full-time position, Monday through Friday, 8-5 with occasional overtime during peak periods.
  • Office-based role with potential for hybrid work arrangements after the initial onboarding period.
