Accounts Receivable and Billing Specialist

Spectrum Generations is a mission-driven nonprofit organization dedicated to improving the quality of life of older and disabled adults in Central Maine. We are seeking a dedicated Billing and Accounts Receivable (AR) Specialist to join our team and support our commitment to financial excellence and service delivery.

Position Summary:
The Billing and AR Specialist will oversee the billing processes and manage accounts receivable functions to ensure timely and accurate processing of transactions. The ideal candidate will have a strong attention to detail, excellent organizational skills, and a passion for contributing to a nonprofit organization’s mission.

Key Responsibilities:

Billing Management:

• Prepare, generate, and send accurate invoices in a timely manner.
• Monitor and reconcile billing discrepancies.

Accounts Receivable:

• Record payments and maintain AR ledgers.
• Follow up on outstanding balances and ensure timely collection.
• Coordinate with stakeholders to resolve payment issues.

Financial Reporting:

• Provide regular AR aging reports to management.
• Assist in preparing for audits and ensuring compliance with financial standards.
• Monthly reconciles general ledger and accounts receivable accounts.

Collaboration:

• Work closely with finance, program, and administrative staff to ensure proper documentation and communication regarding receivables.
• Support special projects or initiatives related to financial processes.
• This position also backs up the Staff Accountant– Accounts Payable (AP) duties and other month end close tasks.
• Daily accounting support as directed.

Qualifications:

• Associate's or Bachelor’s degree in Accounting, Finance, or related field, or equivalent work experience.
• Minimum of 3 years’ experience in billing and accounts receivable, preferably in a nonprofit environment.
• Proficiency in Microsoft Office Suite (especially Excel) required and Great Plains Dynamics software experience preferred.
• Strong knowledge of accounting principles and nonprofit financial practices.
• Exceptional organizational, analytical, and communication skills.
• Ability to handle confidential information with integrity and professionalism.
