Position Overview
The Accounts Receivable & Cash Management Specialist handles customer invoicing, cash application, and daily bank reconciliations. This role manages transaction tracking across all deposit types and delivers key financial reporting. Additionally, this position acts as the backup for the Accounts Payable function on an as-needed basis and reports directly to the CFO.
Work Environment & Flexibility
- Onsite Onboarding: Role begins fully onsite at our manufacturing facility to learn systems and workflows.
- Remote Transition: Position will transition to a 100% fully remote role later this calendar year.
Key Responsibilities
Accounts Receivable & Invoicing
- Generate Invoices: Process customer invoices by verifying quantities against cost confirmations, purchase orders, and shipping logs.
- Deliver Billing: Send invoices directly to clients via email or specialized customer portals.
- Manage Adjustments: Issue customer credit/debit memos and process account adjustments like write-offs or refunds.
- Review Credit Holds: Evaluate and release order tickets for prepaid customers or accounts on credit hold.
Cash Management & Application
- Process Deposits: Scan daily check deposits and apply payments accurately to customer accounts.
- Reconcile Digital Payments: Match incoming Stripe credit card transactions, ACH, and wires to open invoices.
- Perform Bank Reconciliations: Balance daily bank activity against the general ledger cash summary.
- Track Outstanding Checks: Reconcile and clear settled checks within the ERP system.
Accounts Payable (Backup Role - As Needed)
- Verify Invoices: Match vendor invoices against purchase orders and packing lists to resolve discrepancies.
- Data Entry: Code and enter approved invoices into the ERP system for CFO authorization.
- Execute Disbursements: Prepare weekly payment proposals and process check runs or electronic payments.
Other Support
- Ledger Maintenance: Review payroll general ledger uploads and process necessary journal import entries.
- Track Accruals: Maintain payroll spreadsheets for employee vacation and PTO tracking.
- Credit Card Statement: Code monthly company credit card statement based on charge receipts and post to the G/L
- Intercompany Billing: Compile wage, tax, and benefit expenses for Digital Print production departments.
- Vendor Setup: Create and maintain new vendor profiles within the ERP system.
- Benefit Reconciliation: Review medical benefit card transactions against the company's Pinnacle account.
Qualifications & Requirements
Education & Experience
- Experience: 3+ years of bookkeeping experience focusing on AR, AP, and foundational payroll support.
- Industry: Prior accounting experience within a manufacturing or production environment is preferred but not required.
- Education: Associate’s degree in Accounting, Finance, or Business Administration preferred.
Technical Skills
- ERP Systems: Experience with SAP or equivalent enterprise software preferred.
- Accounting Software: Proficiency with QuickBooks Online strongly preferred.
- Industry Software: Familiarity with Monarch costing software or equivalent production tools.
- Office Productivity: Competency in Microsoft Word, Gmail, and Excel (sorting, filtering, SUM, COUNT).

Pay: $26.00 - $30.00 per hour
