Accounts Receivable Specialist

Job Title: Accounts Receivable Specialist (Hybrid Opportunity)

Status: Full-Time, Exempt

Location: Round Rock, Texas

Work Model: In-office for the first 90 days; Hybrid eligibility thereafter.

Role Overview

Our agency is looking for a mission-driven Finance Administrator with a sharp eye for detail and a background in complex state-level billing. You will be responsible for managing the full cycle of accounts receivable from tracking state agency payments (SSCCs) to managing donor contributions. Reporting directly to the Finance Director, you will serve as the financial heartbeat of our foster care and adoption services.

Primary Responsibilities

  • State & Agency Billing: Manage collections and receivables from State Agencies, Counties, and SSCCs. Act as the primary liaison for all billing coordinators.
  • Database Management: Oversee per diem entries and corrections in the database; ensure all deposits are accurately posted in SAGE Intacct.
  • Donor & Revenue Tracking: Maintain our donor database, process public donations, and generate all required tax receipts and acknowledgment letters.
  • Audit & Compliance: Review foster care and adoption documentation from branch offices for accuracy prior to billing submission.
  • Financial Reporting: Compile monthly aging, discrepancy, and past-due reports to keep management informed of cash flow health.
  • Internal Support: Audit and approve employee mileage expenses and provide guidance to staff regarding adoption documentation and database entry.
  • Office Operations: Assist with ACH/Positive Pay processing, board meeting preparations (agendas), and serve as an official Agency Notary.

Required Qualifications

  • Education: Bachelor’s Degree in Finance, Accounting, or a closely related field.
  • Experience: Minimum of 2 years of professional bookkeeping or accounting experience.
  • Software Skills: High proficiency in SAGE Intacct, MS Excel (advanced), Word, and PowerPoint.
  • Notary: Current Notary Public or the ability to become one immediately upon hire.

Preferred Skills

  • Direct experience with Foster Care or Private Adoption billing.
  • Familiarity with Texas State Agency contracting and T3C billing practices.
  • Experience with specialized Donations/Philanthropy software.
