Job Summary/Overview

An Admin Assistant plays a pivotal role in maintaining the seamless operation of an office environment. This position supports various administrative tasks, contributing significantly to the productivity and efficiency of the organization. As an Admin Assistant, you will be responsible for a broad range of duties that include supporting executives, managing schedules, and handling office tasks, which are critical in ensuring that all operations run smoothly. You will serve as a key point of contact for internal and external stakeholders, necessitating a high level of professionalism and discretion.

Your role will involve working closely with management to coordinate meetings, prepare documents, and facilitate communication across departments. The ideal candidate will possess excellent organizational skills, the ability to multitask, and a knack for problem-solving, ensuring that all administrative tasks are completed accurately and delivered with high quality and in a timely manner.

Key Responsibilities

  • Assist in the preparation of regularly scheduled reports and presentations.
  • Organize and schedule meetings and appointments, ensuring all necessary arrangements are made in advance.
  • Documents review and data entry to submit clients application on various platform and act as the point of contact for internal and external clients.
  • Handle requests and queries from senior managers and provide administrative support to ensure efficient operation of the office.
  • Develop and maintain a filing system for easy retrieval and storage of documents.
  • Coordinate office procedures and manage the office.
  • Assist in the preparation and editing of correspondence, communications, presentations, and other documents.
  • Provide administrative support to brokers and supply parties.
  • Manage and maintain executives’ schedules, including planning and scheduling meetings, appointments, and travel.
  • Handle sensitive information in a confidential manner and ensure the security of all data.
  • Collaborate with other departments to ensure smooth operations and effective communication.

Required Qualifications

  • Bachelor’s degree in Business Administration or related field, or equivalent work experience.
  • Proven experience as an Administrative Assistant or Office Admin Assistant.
  • Knowledge of office management systems and procedures.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office (MS Excel and MS PowerPoint, in particular).
  • Strong organizational and planning skills in a fast-paced environment.

Technical Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with office management software and tools such as SAP, Oracle, or other ERP systems is a plus.
  • Ability to quickly learn new software and applications as needed.
  • Familiarity with scheduling tools and calendar management.
  • Basic understanding of data management and filing systems.
  • Competency in using virtual communication tools such as Zoom, Microsoft Teams, etc.

Job Type: Part-time

Pay: From AED1,500.00 per month

Expected hours: 30 per week
