Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading
  • Support calendar management by scheduling appointments, meetings, and coordinating events using tools like Google Workspace and Microsoft Office
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records
  • Provide excellent customer support through friendly communication and timely responses to inquiries
  • Perform general office management duties such as ordering supplies, managing mail, and overseeing office equipment maintenance

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with QuickBooks or other bookkeeping software is a plus
  • Excellent typing speed and data entry skills for efficient record keeping
  • Bilingual abilities are highly desirable to serve diverse clients and team members effectively
  • Strong phone etiquette skills with experience managing multi-line phone systems
  • Ability to handle confidential information discreetly while maintaining professionalism
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
