Admin Assistant

Administrative Assistant

Location: Umm Al Quwain, UAE (Relocation Required)

Employment Type: Full-Time

About the Role

We are seeking a highly organized, proactive, and strategic Administrative Assistant to join our growing team in Umm Al Quwain. The ideal candidate will have 1–2 years of UAE experience and possess strong administrative, organizational, and coordination skills. This role requires someone who can independently manage office operations, government-related documentation, compliance requirements, and support management in various business functions.

Key Responsibilities:

Administration & Office Management

  • Manage day-to-day administrative and office operations.
  • Handle company correspondence, emails, and document management.
  • Maintain organized filing systems for both physical and digital records.
  • Coordinate office supplies, inventory, and vendor relationships.
  • Prepare reports, presentations, and business documents as required.

Procurement & Vendor Coordination

  • Source suppliers and obtain quotations.
  • Compare pricing and negotiate with vendors when required.
  • Process purchase requests and monitor procurement activities.
  • Maintain supplier databases and procurement records.

Government Relations & Compliance

  • Process and monitor legal documents, licenses, permits, and company registrations.
  • Coordinate renewals of trade licenses, establishment cards, visas, labor documents, and other regulatory requirements.
  • Ensure compliance with UAE government regulations and deadlines.
  • Liaise with government authorities, service providers, and PROs when necessary.

Human Resources Administration

  • Monitor employee visa, labor card, Emirates ID, and passport expiry dates.
  • Maintain employee records and personnel files.
  • Assist with onboarding and documentation for new employees.
  • Track leave records and HR-related administrative requirements.
  • Ensure all employee documentation remains accurate and up to date.

Accounting Support

  • Assist with basic accounting and bookkeeping functions.
  • Maintain expense records and supporting documentation.
  • Support invoice preparation and payment tracking.
  • Coordinate with the finance department regarding administrative financial records.

Costing & Pricing

  • Assist in preparing product and service costing calculations.
  • Support pricing analysis and profitability assessments.
  • Maintain costing records and update pricing sheets as required.

Qualifications & Requirements

  • Minimum 1–2 years of administrative experience in the UAE
  • Strong knowledge of UAE administrative procedures and government documentation.
  • Basic accounting knowledge is preferred
  • Experience in procurement and vendor management is an advantage.
  • Excellent written and verbal communication skills in English.
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Ability to prioritize tasks and manage multiple deadlines.
  • Highly organized, detail-oriented, and capable of maintaining confidentiality.
  • Strategic thinker with strong problem-solving and decision-making abilities.
  • Willing to relocate to Umm Al Quwain.

Pay: AED2,500.00 - AED3,000.00 per month
