The Role

Reporting directly to the Managing Partner, the Admin Assistant provides comprehensive administrative, research, and IT support to the Managing Partner, senior executives, and the wider Oryx organization. The role acts as a central coordination point for office operations, executive scheduling, travel arrangements, document management, government formalities, and the firm’s day-to-day IT administration.

The work spans multiple Oryx entities and requires the ability to switch between executive support, research tasks, IT administration, and operational coordination while maintaining attention to detail and discretion under shifting priorities.

Success looks like a well-organized executive schedule, smooth travel logistics, on-time renewal of licenses and visas, accurate document management, and consistent execution of the admin function across all Oryx entities.

Key Responsibilities

Executive Support

  • Manage, prioritize, and screen the Managing Partner’s correspondence — email, calls, and post — ensuring timely follow-up
  • Set up and coordinate meetings, appointments, and schedules for the Managing Partner and senior executives
  • Draft, transcribe, and distribute meeting agendas and minutes
  • Follow up with employees on tasks on behalf of management and report status updates to the Managing Partner
  • Obtain management approval on agreements, transactions, and payments as required

Research

  • Conduct research on any topic assigned by the Managing Partner; use AI tools and online sources effectively to deliver clear, well-sourced findings within agreed timelines

Travel Management

  • Manage all travel arrangements for the Managing Partner, family, and senior executives — flights, hotels, visas, car rentals, and excursions — and produce trip reports for business travel

Office Administration

  • Manage day-to-day administrative operations across Oryx Ltd. and its sister companies
  • Maintain an up-to-date database of company licenses, vehicle registrations, and staff residencies
  • Coordinate with the receptionist on day-to-day office matters
  • Support the centralized filing and archiving of company documents

IT Administration

  • Manage day-to-day IT administration: user accounts, devices, software licenses, equipment inventory, and coordination with external IT vendors
  • Provide first-line technical support to staff for common IT issues
  • Identify and implement AI tools and automations to streamline administrative workflows

Government & Legal Coordination

  • Coordinate with PROs on transfer and renewal of company licenses, vehicle registrations, and family member documents and employee visa and residency formalities

Reporting & Confidentiality

  • Report on Asana for all admin activities; follow up on overdue tasks with functional heads and staff
  • Handle confidential and non-routine information with absolute discretion
  • Carry out any other tasks as required by management

Requirements

Essential

  • Education: Bachelor’s degree in Information Technology, Computer Science, or Computer Engineering
  • Experience: Minimum 2 years in administrative support, office coordination, or a similar role
  • English: Very strong written and verbal English
  • Research: Strong research skills — able to investigate any topic on request and deliver clear, well-sourced findings
  • Communication & coordination: Excellent communication and coordination across internal staff, PROs, vendors, and reception
  • Attention to detail: Exceptional attention to detail across all administrative, research, and technical work
  • Tech & AI fluency: Highly tech-savvy with strong command of Microsoft 365 and Asana; practical experience using AI tools (ChatGPT, Claude, or similar) for research, drafting, and workflow automation; quick to adopt new tools
  • Discretion: Proven ability to handle highly confidential executive, financial, and family information with absolute discretion

Preferred — aptitude matters more than credentials

  • Arabic language skills — working knowledge for engagement with PROs, government bodies, and Arabic-speaking staff
  • Prior experience supporting C-level executives
