Job Title:
Admin Assistant and Client Coordinator

Job Summary:
We are looking for a dedicated and well-organized Admin Assistant and Client Coordinator to support our daily operations, assist with administrative tasks, and coordinate effectively with clients and internal teams. The ideal candidate should have excellent communication skills, attention to detail, and the ability to manage multiple responsibilities efficiently in a fast-paced environment.
Key Responsibilities: Administrative Support
- Assist in day-to-day office operations and documentation.
- Maintain client records, project trackers, and filing systems.
- Prepare, generate, and share invoices with clients.
- Support internal teams (Accounts, Audit, VAT, CT, etc.) with necessary documents and follow-ups.
Client Coordination
- Act as the primary point of contact for client communication.
- Follow up with clients for documents, payments, and clarifications.
- Share quotations and proposals with clients and track responses.
- Handle client queries and ensure timely follow-up and resolution.
Operational Support
- Coordinate with accounts and audit teams to ensure all deadlines are met.
- Monitor ongoing tasks such as VAT filing, CT (Corporate Tax) filing, audit support, and account submissions.
- Track the timely completion of all assigned client files and compliance-related work.
- Call and follow up with the Federal Tax Authority (FTA) for tax-related support, clarifications, and complaint resolutions.
Reporting & Updates
- Prepare and maintain monthly reports on project status, client communication, and task progress.
- Provide regular updates to team leads and management on pending and completed tasks.
Requirements:
- Minimum 1 year of experience in administrative or client-facing roles (preferably in a finance, audit, or tax firm).
- Good communication and interpersonal skills.
- Basic knowledge of accounting or tax processes is a plus.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ability to multitask, prioritize, and work under deadlines.
