Job Summary:
The Administrative Assistant provides essential support to ensure the smooth and efficient operation of an immigration law firm. This position involves a variety of administrative, clerical, and organizational responsibilities critical to daily legal operations. The ideal candidate is highly organized, detail-oriented, bilingual (English/Spanish), and capable of handling sensitive information with professionalism and discretion.
Responsibilities:
- Maintain a clean, organized, and professional office environment.
- Manage, receive, and process client documentation in accordance with firm procedures.
- Accurately input client intake information into case management systems.
- Process record requests and ensure timely follow-up.
- Answer and direct phone calls, emails, and client inquiries in a professional manner.
- Draft, proofread, and edit correspondence, reports, and legal documents.
- Ensure timely and accurate internal and external communication.
- Schedule and coordinate appointments, meetings, and conferences.
- Arrange travel accommodations and itineraries for attorneys as needed.
- Maintain and update attorney calendars to reflect current appointments and deadlines.
- Organize and manage electronic and physical filing systems.
- Create, edit, and manage reports.
- Collaborate with team members to support client services and legal operations.
- Handle confidential and sensitive information with the highest level of discretion.
- Greet and assist clients during in-person visits.
- Manage client check-ins to ensure a welcoming and professional experience.
- Provide responsive, courteous support to address client needs or direct them to appropriate staff.
- Perform other related administrative tasks and duties as assigned.
Qualifications:
- Bachelor's degree in a related field preferred; equivalent experience considered.
- Bilingual in English and Spanish is required.
- Minimum of 2 years of administrative experience, preferably in a legal or immigration law setting.
- Proficient in Microsoft Office Suite, Google Workspace, and case management software.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- High attention to detail and ability to troubleshoot administrative issues.
- Comfortable with office technology (printers, scanners, etc.).
- Ability to work independently and collaboratively in a fast-paced environment.
- Professional demeanor and strong interpersonal skills when interacting with clients and team members.
Pay: $20.00 - $23.00 per hour
