Position Summary:

The Administrative Assistant for the Young Adult Services (YAS) Program provides secretarial and clerical support to YAS administration and staff, serving as the welcoming face of the program for students, families, and visitors. This role requires a detail-oriented professional who is passionate about supporting adult learners with special needs and committed to the mission of the Ottawa Area Intermediate School District.

Essential Job Functions:

  • Serves as the first point of contact for the YAS building, welcoming visitors and directing them to the appropriate staff member.
  • Provides administrative support to the Director and Coordinator, including calendar management, meeting times, and events.
  • Manages student records and data for the Georgetown location, both physical and digital.
  • Organizes and manages transportation requests across all YAS buildings, as well as coordinating with Dean Transportation
  • Monitors incoming communications from email, phone, and written correspondence, using discretion to distribute materials if necessary.
  • Completes District and state required reports, maintaining FERPA confidentiality requirements.
  • Orders and maintains office supplies within the approved budget.
  • Other duties as assigned.


Education & Experience:

  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • Two or more years in an administrative or clerical position required.
  • Experience in a school setting is preferred.

  • Ability to collaborate effectively in a team environment.
  • Strong organizational and time management skills.
  • Ability to manage multiple tasks while maintaining accuracy.
  • Customer service orientation.


Physical & Environmental Requirements:

  • Ability to lift or move up to 25 pounds with or without mechanical assistance.
  • Prolonged periods of sitting or standing working at a computer or performing clerical duties.
  • Ability to move between building areas or locations.
  • Work is performed in a school-based office environment with moderate noise levels typical of a busy building setting.


Compensation & Employment Details:

  • Pay: Range of $25.50-$30.00 commensurate with experience.
  • Schedule: Full-time, Full School Year Calendar, 235 days per year. This position is considered to be a 0.9 Full-time equivalent position.
  • Benefits: Full benefits package, including health, dental, vision, disability, and life insurance. MPSERS provided retirement plan.
