Admin Assistant to Chief Technology Officer (CTO)

We are seeking a highly organized and skilled Executive Assistant to support our Chief Technology Officer (CTO) at GBB. The ideal candidate will possess exceptional communication skills, both written and verbal, and demonstrate strong organizational abilities. This role requires a proactive approach, attention to detail, and the ability to manage multiple priorities in a fast-paced technology environment.

Primary Responsibilities

Email Management

  • Review and prioritize the CTO’s emails daily
  • Respond to emails on behalf of the CTO, as directed
  • Sort technical emails requiring in-depth knowledge into a designated folder for the CTO’s direct attention

Schedule Management

  • Manage the CTO’s calendar and coordinate appointments with OEMs and customers
  • Ensure the CTO is prepared for all meetings and engagements

Team Coordination

  • Follow up with team leads and engineers on urgent tasks
  • Ensure proper documentation of recent tasks in the knowledge base and ticketing system
  • Collect and highlight urgent requirements, meeting requests, approval requests, and support calls from various teams for the CTO’s priority attention

Communication Support

  • Handle phone calls on behalf of the CTO, especially during meetings or out-of-office travel
  • Liaise with internal and external stakeholders as needed

Administrative Support

  • Assist with signatures, printing, courier services, and other office-related tasks for the CTO
  • Prepare and edit correspondence, communications, and other documents as required

Office Management (Future Responsibility)

  • Coordinate office maintenance tasks such as AC repair, furniture repair, and laptop maintenance
  • Liaise with HR and support coordinators to streamline administrative processes

Qualifications

  • 1-2 years of experience as an executive assistant, preferably in a technology-driven environment is preferred
  • Exceptional oral and written communication skills
  • Strong organizational and time management abilities
  • Proficiency in Microsoft Office Suite and email management tools
  • Ability to handle confidential information with discretion
  • Proactive problem-solving skills and ability to work independently
  • Flexibility to adapt to changing priorities and deadlines
