Admin Assistant/Receptionist

Quotation Management: Review project specifications or client requests to calculate labor, materials, and overhead costs. ​Proposal Creation: Draft formal bids and quotes, ensuring all pricing aligns with company margins and current market rates. ​Invoicing & Billing: Generate invoices upon milestone completion or product delivery. This includes tracking "work in progress" (WIP) to ensure nothing goes unbilled. ​Dispute Resolution: Act as the point of contact for clients who have questions about their bills or the original quote. ​Data Integrity: Maintain accurate records in the ERP or accounting software (like SAP, QuickBooks, or Xero) to ensure the sales and finance teams are seeing the same numbers.

Required Skills & Qualifications

Technical Proficiency in Excel (Pivot tables/VLOOKUPs) and CRM/ERP software. Analytical Strong mathematical skills to calculate margins, discounts, and tax. Communication The ability to explain complex billing breakdowns to clients without sounding like a robot.
