osition Overview
The Admin Associate is responsible for ensuring smooth and efficient day-to-day administrative operations within the company. This role involves office management, vendor coordination, facility oversight, employee support, and handling administrative documentation. The ideal candidate is proactive, well-organized, and able to support multiple teams while maintaining a professional and customer-focused approach.
Key Responsibilities1. Office & Facility Management
- Oversee daily office operations to ensure a well-maintained, clean, and safe work environment.
- Supervise housekeeping and coordinate with security personnel and facility staff.
- Ensure availability of office supplies and manage inventory levels.
2. Vendor & Service Coordination
- Coordinate with vendors for maintenance, repairs, utilities, printing, and office services.
- Assist in obtaining quotations, processing invoices, and ensuring smooth service delivery.
- Track vendor contracts and service schedules.
3. Administrative & Clerical Support
- Support general administrative tasks including photocopying, scanning, filing, and correspondence.
- Maintain employee records, office files, and administrative documentation.
- Provide logistic support to HR, Operations, and other departments as needed.
4. Employee Support & Office Services
- Assist employees with administrative requests and day-to-day queries.
- Manage meeting room bookings, event logistics, and office hospitality (tea/coffee arrangements, visitor management, etc.).
- Coordinate onboarding setup such as workstations, access cards, and required supplies.
5. Asset & Inventory Management
- Maintain accurate records of company assets (IT equipment, office furniture, supplies).
- Ensure proper issuance, tagging, return, and documentation of office assets.
- Conduct periodic physical verification of assets.
6. Health, Safety & Facility Compliance
- Ensure compliance with workplace health and safety standards.
- Report facility issues promptly and ensure timely resolution.
- Support emergency preparedness and safety drills when required.
7. Reporting & Coordination
- Prepare daily/weekly administrative updates and reports as required.
- Assist in budget tracking for administrative expenses.
- Coordinate with cross-functional teams for administrative planning and support.
Requirements:
- Bachelor’s degree in Administration, or a related field
- 2+ years of experience in an Admin preferably in a BPO or service-based industry
- Proficiency in MS Office, especially Excel and Outlook
- Strong organizational and multitasking skills
- Excellent verbal and written communication
- Ability to maintain confidentiality and handle sensitive information with professionalism
Nice to Have:
- Understanding of payroll processing or statutory compliance (e.g., tax filings, EOBI, etc.)
- Ability to adapt quickly in a fast-paced, high-volume environment
Timings:10:00 AM – 07:30 PM(Mon – Fri) & 11:00 AM – 04:00 PM(Saturday)
Days: Monday – Saturday
Job Type: Full-time
Pay: Rs60,000.00 - Rs80,000.00 per month
