Admin / Business Coordinator – Production & Trading (UAE)

Alchimie Fragrances is expanding and looking for a highly skilled, organized, and proactive Admin / Business Coordinator to support our production and trading operations.

Role Overview
You’ll coordinate day-to-day business operations — production tracking, supplier communication, purchasing, shipping, and reporting — ensuring smooth workflow between departments, vendors, and management.

Key Responsibilities

  • Manage purchase orders, quotations, and supplier follow-ups
  • Track production schedules, deliveries, and inventory levels
  • Coordinate with logistics partners, warehouses, and customs agents
  • Prepare export/shipping documentation (invoices, packing lists, COOs)
  • Update ERP and Excel trackers with accurate product and cost data
  • Support financial and administrative reporting (payments, invoices, reconciliations)
  • Maintain organized records and assist management in decision-making

Requirements

  • Minimum 3–5 years’ experience in admin, coordination, or operations within production/trading/FMCG
  • Excellent communication and organization skills
  • Strong command of Excel and ERP/Zoho systems
  • Knowledge of import/export procedures and documentation
  • Fluent in English (Arabic is a plus)
  • Based in Ras Al Khaimah

Job Types: Full-time, Contract
Contract length: 24 months

Pay: AED4,000.00 - AED5,000.00 per month
