Job Summary:

The Community Admin plays a key role in the day-to-day management and coordination of community operations within a residential development or building. This position ensures effective communication between residents, the HOA Board, service providers, and regulatory bodies (such as RERA), while supporting the smooth functioning of administrative and operational tasks.

Key Responsibilities:

1. Administrative Support

  • Maintain accurate records of unit owners, tenants, and service providers.
  • Prepare and circulate notices, circulars, meeting agendas, and minutes.
  • Coordinate Board and Annual General Meetings (AGMs) in compliance with RERA guidelines.
  • Manage document filing (digital and physical) for audits and compliance.

2. Resident Relations

  • Handle resident inquiries and complaints via email, phone, or walk-ins.
  • Issue No Objection Certificates (NOCs), move-in/move-out permits, and access cards.
  • Maintain a professional and welcoming front desk/reception area (if applicable)

3. Service Charge Management

  • Assist in the issuance and tracking of service charge invoices.
  • Maintain payment records and send reminders for outstanding dues.
  • Coordinate with finance team and auditors for reconciliations and financial reporting.

4. Vendor & Maintenance Coordination

  • Liaise with service providers for maintenance schedules, contract renewals, and performance feedback.
  • Record and follow up on work orders, maintenance issues, and resident complaints.

5. Compliance & Governance

  • Ensure compliance with Dubai Land Department (DLD), RERA, and OA regulations.
  • Assist in submitting required reports, audits, and statutory filings.
  • Keep updated with changes in community management regulations.

6. Community Engagement

  • Support community events and initiatives as directed by the HOA Board.
  • Facilitate surveys and feedback collection to improve resident satisfaction.

Qualifications and Skills:

  • Experience in Accounts and Admin.
  • 1-2 years’ experience in property management, community administration in the UAE.
  • Strong knowledge of RERA and jointly owned property (JOP) laws.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office.
  • Strong organizational skills and attention to detail.
  • Fluency in English

Job Type: Full-time

Pay: AED3,500.00 - AED4,500.00 per month
