Admin cum Secretary – Real Estate (with Trakeeshi & Listing Experience)

Position Overview:

We are seeking a highly organized and proactive Admin cum Secretary to join our dynamic real estate team. The ideal candidate will have experience with Trakeeshi and property listing platforms, providing administrative and secretarial support to ensure smooth office operations and efficient property transactions.

Key Responsibilities:

  • Handle daily administrative tasks, including filing, scheduling, and document management.
  • Prepare, update, and manage property listings on Trakeeshi, MLS, and other real estate platforms.
  • Draft, review, and organize contracts, agreements, and real estate documents.
  • Coordinate and schedule meetings, appointments, property viewings, and open houses.
  • Answer phone calls, emails, and client inquiries promptly and professionally.
  • Maintain accurate records of client details, transactions, and property data.
  • Prepare reports, presentations, and marketing materials for property promotions.
  • Provide secretarial support to management, including calendar management and travel arrangements.
  • Follow up on deadlines for contracts, inspections, and other key real estate processes.

Qualifications & Skills:

  • Proven experience as an administrative assistant or secretary, preferably in the real estate industry.
  • Familiarity with Trakeeshi software/platform and property listing tools (MLS, Zillow, etc.).
  • Strong organizational, multitasking, and time-management skills.
  • Excellent communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace.
  • Ability to work independently and handle confidential information with discretion.
  • Knowledge of real estate processes and terminology is a strong advantage.

Preferred Skills:

  • Experience with CRM systems or real estate management software.
  • Basic marketing or social media management skills for property promotions.
  • Attention to detail and problem-solving abilities.
