Job Summary

We are looking for a highly organized and detail-oriented Admin Executive / Operations Coordinator to support our daily operations and administrative activities. The ideal candidate should have at least 1 year of experience, preferably in the Facilities Management, Maintenance, Technical Services, HVAC, MEP, or Cleaning Industry.

The candidate must be proficient in Microsoft Office, CRM systems, quotation preparation, scheduling, client coordination, and administrative support functions.

Important Requirements

✅ Minimum 1+ years of experience in Administration or Coordination

✅ Experience in Maintenance, Facilities Management, Technical Services, HVAC, MEP, or Cleaning Industry preferred

✅ Strong knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint)

✅ Experience with CRM software and quotation preparation

✅ Excellent communication and organizational skills

✅ Freshers will NOT be considered

Key Responsibilities

Administrative Support

  • Manage daily administrative and office operations.
  • Maintain proper records, reports, and documentation.
  • Handle incoming calls, emails, and client inquiries professionally.
  • Prepare and maintain operational reports and trackers.

Quotation & Documentation

  • Prepare quotations, proposals, and service agreements.
  • Follow up on submitted quotations and pending approvals.
  • Maintain accurate records of contracts, invoices, and client documents.
  • Coordinate documentation between clients, sales, and operations teams.

CRM & Data Management

  • Update and maintain customer information in CRM systems.
  • Ensure all leads, jobs, and customer records are properly updated.
  • Generate reports and track job status, quotations, and follow-ups.
  • Monitor pending tasks and ensure timely updates.

Operations Coordination

  • Schedule jobs and coordinate with field teams and technicians.
  • Coordinate with clients regarding appointments and service schedules.
  • Support operations team in daily planning and resource allocation.
  • Follow up on job completion reports and customer feedback.

Client Coordination

  • Maintain regular communication with clients regarding service updates.
  • Handle customer requests and coordinate with relevant departments.
  • Assist in resolving client concerns and operational issues.

Reporting & Compliance

  • Prepare daily, weekly, and monthly reports.
  • Maintain accurate filing systems and operational records.
  • Ensure compliance with company procedures and documentation standards.
