Admin Manager

The Admin Supervisor is responsible for overseeing the day-to-day operations of office facilities and ensuring they are maintained to the highest standards of cleanliness, safety, and functionality. This role combines administrative management with facility management responsibilities and requires a keen eye for hospitality. The Admin supervisor will ensure that the company’s facilities run smoothly and efficiently while creating a welcoming and professional environment for all staff and visitors.


Key Responsibilities
:

Facility Management:

  • Oversee the general upkeep and maintenance of all office buildings, including regular inspections of the physical space to ensure a clean, safe, and organized work environment.
  • Manage office layout and seating arrangements, ensuring that space is effectively utilized and conducive to collaboration and productivity.
  • Ensure quality service and negotiate contracts for favorable terms.
  • Ensure that all facilities comply with relevant health and safety regulations, conducting regular safety checks, and maintaining an updated record of safety protocols.
  • Oversee the supply chain for office materials, stationery, office furniture, equipment, and other supplies. Maintain inventory and ensure timely restocking.
  • Manage security protocols for the office, including key access, visitor logs, and CCTV monitoring to ensure the safety of employees, visitors, and assets.
  • Coordinate emergency response plans, including fire drills, first-aid preparedness, and evacuation procedures.
  • Ensure a professional, welcoming environment for both employees and visitors, maintaining the highest levels of service and comfort.
  • Manage the reception area, ensuring that visitors are greeted promptly and professionally. Oversee the arrangement of meeting rooms and visitor lounges to meet hospitality standards.
  • Organize and manage company events, meetings, and conferences, ensuring that all logistical aspects (venue, catering, equipment, etc.) are taken care of with an emphasis on quality and detail.
  • Work closely with HR to enhance employee well-being by creating a comfortable work environment with employee-focused amenities such as coffee stations, wellness spaces, etc.
  • Collaborate with other departments to ensure that office environments support operational needs, while also maintaining an atmosphere of hospitality and respect.

Qualifications & Skills:

  • Education: A bachelor’s degree in Business Administration, Facility Management, Hospitality Management, or a related field. A Master’s degree is a plus.
  • Experience: Minimum of 5 years of experience in administrative management or facilities management, ideally within a corporate or hospitality setting.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills to interact with both staff and visitors.
    • Proven ability to manage and supervise a team effectively.
    • Attention to detail, with an eye for hospitality and creating positive work environments.
    • Budgeting and resource management experience.
    • Familiarity with health and safety protocols, and a proactive approach to risk management.
    • Comfortable working with facility management software and office productivity tools.
  • Personal Attributes:
    • Proactive and self-motivated.
    • Strong problem-solving skills, with the ability to handle emergency situations calmly.
    • Customer-service oriented with a high standard of hospitality.
    • Ability to work in a fast-paced environment while maintaining attention to detail.

  • This role will be based in the company’s main office location (Dubai).
