Admin & Marketing Coordinator

Position Overview

We are seeking a highly organized, outgoing, and detail-oriented professional to support our title company with post-closing administrative tasks while also helping plan and execute marketing events for real estate agents, including happy hours, lunch & learns, and office visits.

No prior post-closing experience is required — we will provide hands-on training for all post-closing responsibilities.

This role is ideal for someone who enjoys both office operations and relationship-building and is comfortable juggling multiple responsibilities in a fast-paced environment.

Key ResponsibilitiesAdministrative & Post-Closing Support

  • Assist with post-closing files, including:
  • Scanning, organizing, and archiving documents
  • Mailing recorded documents and checks
  • Tracking recording confirmations and post-closing requirements
  • Cut checks and assist with accounts payable
  • Maintain organized digital and physical filing systems
  • Assist with office administration
  • Coordinate with internal team members to ensure post-closing items are completed accurately and on time

Marketing & Realtor Event Coordination

  • Plan and coordinate realtor-focused events, including:
  • Happy hours
  • Lunch & Learn presentations
  • Office pop-bys and appreciation events
  • Handle event logistics:
  • Venue selection and booking
  • Catering orders
  • Invitations, RSVPs, and follow-ups
  • Event setup and breakdown
  • Maintain and update realtor contact lists
  • Support relationship-building efforts with real estate agents and lending partners
  • Assist with light marketing tasks related to events (emails, flyers, reminders)

Qualifications

  • Strong organizational and time-management skills
  • Excellent attention to detail, especially with documents and deadlines
  • Friendly, outgoing, and professional demeanor
  • Comfortable interacting with real estate agents and industry partners
  • Ability to multitask and prioritize effectively
  • Proficient in basic office software (email, spreadsheets, document management systems)
  • Previous experience in a title company, real estate office, or administrative role is a plus, but not required

Pay: $45,000.00 per year
