Position Overview
We are looking for a highly organized and proactive Admin & Personal Secretary to provide executive-level support and manage day-to-day administrative tasks. The ideal candidate will serve as the primary point of contact for scheduling, correspondence, and office coordination, ensuring seamless support to senior management and efficient office operations.
Key Responsibilities
Executive & Personal Support
- Manage the executive’s calendar, appointments, meetings, and travel arrangements.
- Handle confidential correspondence, documents, and communications with discretion.
- Draft letters, memos, emails, and reports as required.
- Maintain effective filing systems (digital and physical).
Administrative & Office Management
- Organize and coordinate office operations and procedures to ensure efficiency.
- Manage office supplies, vendors, and general office upkeep.
- Assist with preparation of presentations, meeting agendas, and minutes.
- Support HR/admin functions such as attendance tracking, leave management, and documentation.
Communication & Coordination
- Act as a liaison between management and internal/external stakeholders.
- Screen and prioritize phone calls, emails, and requests.
- Coordinate with departments to ensure timely flow of information and follow-ups.
Other Duties
- Support personal tasks and errands as assigned by management.
- Maintain confidentiality and professionalism at all times.
Qualifications
- Proven experience as a Personal Secretary, Executive Assistant, or Admin role.
- Strong organizational, multitasking, and time-management skills.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); knowledge of office management software is an advantage.
- Ability to handle sensitive information with integrity and discretion.
- Professional appearance and positive attitude.
- Excellent verbal and written communication skills (Arabic preferred).
