We are looking for a proactive and detail-oriented Admin & Procurement Executive to handle office administration and project-based procurement for high-end residential and hospitality interior projects. The candidate will coordinate with designers, vendors, contractors, and accounts to ensure timely sourcing of materials and smooth administrative operations.
Key Responsibilities:
A. Administrative Responsibilities:
- Manage day-to-day office administration.
- Coordinate with site teams for documentation and material tracking.
- Handle courier, dispatch, and official correspondence.
- Maintain office inventory (samples, catalogues, stationery).
- Support HR in attendance records and employee documentation.
- Ensure proper record-keeping of contracts and approvals.
B. Procurement Responsibilities (Interior Projects):
- Source materials such as marble, wood, veneers, laminates, hardware, lighting, fabrics, furniture, and décor items.
- Obtain multiple quotations and conduct comparative analysis.
- Negotiate pricing, payment terms, and delivery schedules.
- Issue Purchase Orders and track deliveries.
- Coordinate with site supervisors for material receipt and verification.
- Maintain vendor database and performance records.
- Monitor project-wise procurement budgets.
- Follow up with accounts for vendor payments.
- Ensure quality standards are met as per designer specifications.
Required Skills & Qualifications:
- Graduate in Commerce/Business Administration or related field.
- 3–6 years of experience in Interior/Construction procurement.
- Strong knowledge of materials used in luxury interiors.
- Excellent negotiation and vendor management skills.
- Proficiency in MS Excel (BOQ, cost comparison sheets).
- Ability to handle multiple projects simultaneously.
- Strong coordination and follow-up skills.
