  • Clearance Requirements: Tier 1 Background Investigation - National Agency Check with Law and Credit Check, and fingerprints. (Standard Form 85).
  • Estimate Pay: $58,000 - $60,000(negotiable)
  • Type of Employment: 40 hours per week.
  • Period of Performance: 01 November 2025 31 October 2030 (Option to Extend Services)

  • Paid Time Off per Year:Up to 80 hours per year, occurring on day one.
  • Sick Leave per Year:Up to 56 hours per year, occurring on day one.

Working Hours

Work will be scheduled generally from 8:30 a.m. to 5:30 p.m., Monday through Friday. However, there may be times when the employees must work after duty hours and/or on weekends to support specific tasks. Although the schedule may have to be flexible, it will not exceed 40 hours per week. Temporary alternate work locations may be assigned.

Mandatory Qualifications

  • High School diploma required, higher education preferred
  • At least 1-3 years of relevant work experience in a professional office environment as a support assistant or receptionist, or equivalent position.
  • Experience handling phone calls, emails, and mail, serving as the point of contact for internal and external communication
  • Experience collecting, sorting, and distributing incoming mail Ability to maintain records
  • of receipt, mailing dates, and other required information
  • Ability to ensure appropriate mailing and/or shipping of packages, letters, etc.
  • Experience managing calendars, scheduling meetings, appointments, and greeting high-level guests
  • Experience creating and distributing correspondence, reports, and other documents
  • Experience providing general office support like various administrative tasks, data entry,
  • filing, and customer service
  • Experience with upkeep and setting up of all conference and training rooms
  • Ability to manage multiple tasks and prioritize effectively
  • Ability to manage the receptionist area
  • Effective written and verbal communication skills for interacting with various individuals
  • Proficiency in office software and equipment
  • Physical ability to move large number of files and/or file boxes

Duties/Responsibilities:

There are eight (8) copier areas/workrooms throughout the agency and one (1) mail room. The Contractor shall:

  • Review, process, and log all incoming unclassified mail and packages. Check and verify the presence of all attachments.
  • Contact the originator or appropriate staff member if discrepancies are found. Distribute mail and packages to staff following the USTDA Correspondence Guidelines. Maintain entries to the Correspondence log.
  • Review and distribute incoming agency faxes and electronic documents to staff in accordance with the USTDA Correspondence Guidelines. Check the Agencys general email accounts daily and distribute emails to the appropriate office or staff person.
  • Pick up outgoing mail and express delivery pouches and deliver to the post office and other off-site locations as required, including packages via commercial delivery vendors as required.

The contractor shall maintain a well-organized, well-stocked mail room and other work areas throughout the agency that meet the needs of the Agency. Ensure the agency copier areas/work rooms are continually stocked with supplies, including paper, letterhead, pens, and other supplies, and are maintained in a well-organized and neat manner. Notify the Office of Administration when required stocks of papers, forms, and supplies are low and/or when mailroom equipment is not operational.
