Overview
We are seeking a reliable, detail-oriented Part-Time Administrative Assistant with bookkeeping experience to support daily office operations and financial management for a small general contracting company. This role plays a key part in keeping projects organized, maintaining accurate financial records, and supporting communication between the office, field teams, and clients.
Responsibilities
- Answer phones, manage emails, and handle general correspondence
- Maintain organized filing systems for project documents, contracts, and permits
- Assist with scheduling meetings, job site visits, and project coordination
- Prepare reports, spreadsheets, and internal documentation
- Order office supplies and manage general office operations
- Support project managers with administrative tasks and document tracking
- Maintain records for subcontractors, vendors, and compliance documents
- Manage accounts payable and receivable (invoicing, vendor payments, collections)
- Process and track customer invoices, job billing, and progress payments
- Prepare basic financial reports (profit & loss, cash flow, job cost summaries)
- Track project costs, budgets, and job expenses
- Assist with purchase orders, subcontractor invoices, and change orders
- Maintain project documentation and job files
- Track certificates of insurance and subcontractor compliance documents
- Assist with project closeout documentation and recordkeeping
Pay: $20.00 - $30.00 per hour
