Location: Doha, Qatar

Employment Type: Full-Time, Permanent

Working Hours: Sunday – Thursday, 8:00 AM – 5:00 PM

Salary: Based on experience (negotiable)

Job Summary

We are seeking a versatile and detail-oriented Administration & Accounts Officer to join our team. The ideal candidate will manage daily administrative operations while supporting the accounting function, handling customer inquiries professionally, and assisting with HR-related tasks such as employee documentation and record-keeping. This role suits someone organized, proactive, and comfortable working across multiple functions in a fast-paced environment.

Key Responsibilities

Administration

  • Manage day-to-day office administration, including filing, correspondence, and document control
  • Maintain organized records for contracts, invoices, employee files, and company documents
  • Prepare letters, reports, memos, and other business documents as required
  • Coordinate office supplies, equipment maintenance, and vendor communications
  • Support management with scheduling, meeting coordination, and follow-ups

Accounting Support

  • Assist with preparation and tracking of invoices, receipts, and payment vouchers
  • Maintain accurate records of accounts payable (vendor liabilities) and accounts receivable (customer collections)
  • Support petty cash management and reconciliation
  • Assist with data entry into accounting software (e.g., SAP Business One) and Excel-based tracking sheets
  • Help prepare monthly summaries of income, expenses, and outstanding balances
  • Coordinate with the bank for deposits, transfers, and statement reconciliation

Customer Service

  • Respond to customer inquiries via phone, email, and WhatsApp in a timely and professional manner
  • Handle customer complaints and escalate issues to the relevant department when necessary
  • Maintain and update the customer database with accurate contact and account information
  • Follow up with customers regarding outstanding payments and service feedback
  • Support the preparation of customer contracts, proposals, and renewal documents

Human Resources

  • Maintain employee personal files, including IDs, contracts, visas, and certifications
  • Track and update employee document expiry dates (RP, passport, QID, medical insurance)
  • Assist with onboarding new employees, including documentation and orientation materials
  • Support leave and attendance tracking, and maintain employee records
  • Coordinate with PRO/government relations for visa, RP, and labor documentation as needed

Requirements & Qualifications

  • Minimum 2–3 years of experience in an administrative role with exposure to accounting, customer service, or HR functions
  • Proficiency in Microsoft Excel, Word, and Outlook; familiarity with accounting software is a plus
  • Strong organizational skills with the ability to multitask and prioritize
  • Excellent communication skills in English (Arabic is an advantage)
  • High attention to detail and accuracy, particularly with financial and employee records
  • Professional, friendly, and customer-focused attitude
  • Ability to work independently and as part of a small team
  • Valid Qatar residency / transferable work permit (or eligibility to obtain one)
