Job Overview
The Administration and Operations Coordinator supports the financial, administrative, and programmatic operations of the Japan‑America Society of Dallas/Fort Worth (JASDFW). This role manages day‑to‑day bookkeeping, cash receipts and disbursements, invoicing, collections, and payroll processing in QuickBooks. The position also provides administrative support for events, programs, membership activities, and general office operations.
This is a hands‑on role ideal for a small nonprofit with limited staff, requiring accuracy, reliability, and the ability to manage multiple responsibilities.
- Handle bookkeeping, payroll processing, tracking expenses, budget, accounts receivables, and payments to vendors.
- Maintain office supplies inventory, organize e-filing systems, and ensure all clerical tasks are completed accurately and efficiently
- Proven experience in office administration or related roles with strong organizational skills with phone and email support.
- Familiarity with QuickBooks for bookkeeping and payroll processing
- Experience in event planning and coordinating large or small-scale meetings or corporate eventswledge of vendor management practices and contract negotiations
- Maintain membership and vendor records, handle renewals, sending acknowledgement for sponsorships, tracking event sponsorships and registrations.
- Excellent communication skills with professional phone etiquette and customer service orientation
- Assist with event registration, attendee lists, payment processing, and onsite check‑in.
- Interested in Japan and its culture helpful
Pay: $40,000.00 - $50,000.00 per year
