Administration Assistant

<Job Summary>
We are seeking a dynamic and organized Administration Assistant to join our team and support our daily operations. <Responsibilities>

  • Greet visitors professionally at the front desk, providing exceptional customer support and directing them appropriately
  • Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and financial tracking
  • Organize files and documents through meticulous filing systems, both physical and digital, ensuring easy retrieval
  • Assist with calendar management and scheduling appointments or meetings for team members or executives
  • Support office management tasks such as supply ordering, inventory tracking, and maintaining a tidy workspace
  • Proofread correspondence, reports, and other documents to ensure clarity and accuracy while supporting overall office communication

<Skills>

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with QuickBooks for bookkeeping and financial record-keeping
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Bilingual abilities are highly desirable to assist diverse clients and team members
  • Demonstrated clerical experience including filing, data entry, and document proofreading
  • Exceptional phone etiquette skills with experience managing multi-line phone systems and providing customer support
  • Personal assistant or office management experience is a plus to handle calendar management and administrative duties efficiently
  • Strong time management skills to balance multiple responsibilities while maintaining attention to detail
