Administration Assistant/ Accounts Receivable

About the Role

We are seeking a detail-oriented and proactive Administration Coordinator & Accounts Receivable professional to support both finance operations and daily office administration. This role is ideal for someone who enjoys balancing accounting responsibilities with hands-on office coordination.

Key ResponsibilitiesAccounts Receivable

  • Support invoicing, payment tracking, and account reconciliation
  • Monitor outstanding balances and assist with overdue account follow-up
  • Post payments and maintain accurate accounting records
  • Prepare AR aging reports and provide updates to management
  • Communicate with customers regarding billing inquiries and discrepancies
  • Support month-end closing activities

Office Administration

  • Manage office inventory, supplies, and sales materials
  • Organize and maintain returned items from sales and field activities
  • Coordinate company vehicle maintenance and upkeep
  • Handle purchasing of office equipment and supplies
  • Help improve office operations and workplace productivity
  • Welcome visitors and manage general office inquiries
  • Coordinate dry cleaning services and trade show materials
  • Maintain office safety supplies and vendor relationships
  • Manage external vendors including IT, cleaning, furniture, and facility services

Qualifications

  • 1–2 years of experience in accounts receivable, bookkeeping, or related finance/administrative roles
  • Comfortable using accounting software
  • Strong attention to detail and organizational skills
  • Self-motivated and able to manage recurring tasks independently
  • Associate degree or higher preferred, but equivalent experience will also be considered

Job Type: Full-time

Pay: $22.00 - $24.00 per hour

Expected hours: 40 per week
