About the Role
We are seeking a detail-oriented and proactive Administration Coordinator & Accounts Receivable professional to support both finance operations and daily office administration. This role is ideal for someone who enjoys balancing accounting responsibilities with hands-on office coordination.
Key ResponsibilitiesAccounts Receivable
- Support invoicing, payment tracking, and account reconciliation
- Monitor outstanding balances and assist with overdue account follow-up
- Post payments and maintain accurate accounting records
- Prepare AR aging reports and provide updates to management
- Communicate with customers regarding billing inquiries and discrepancies
- Support month-end closing activities
Office Administration
- Manage office inventory, supplies, and sales materials
- Organize and maintain returned items from sales and field activities
- Coordinate company vehicle maintenance and upkeep
- Handle purchasing of office equipment and supplies
- Help improve office operations and workplace productivity
- Welcome visitors and manage general office inquiries
- Coordinate dry cleaning services and trade show materials
- Maintain office safety supplies and vendor relationships
- Manage external vendors including IT, cleaning, furniture, and facility services
Qualifications
- 1–2 years of experience in accounts receivable, bookkeeping, or related finance/administrative roles
- Comfortable using accounting software
- Strong attention to detail and organizational skills
- Self-motivated and able to manage recurring tasks independently
- Associate degree or higher preferred, but equivalent experience will also be considered
Job Type: Full-time
Pay: $22.00 - $24.00 per hour
Expected hours: 40 per week
