One day you may be processing payroll, reconciling invoices, and maintaining ISO documentation. The next, you may be coordinating a contractor, troubleshooting a facility issue, performing inspections, or completing hands-on maintenance at one of our company locations.
This role blends administrative support, payroll processing, vendor coordination, and facilities maintenance. The ideal candidate is organized, dependable, mechanically inclined, and enjoys solving problems in a fast-paced environment.
This position reports to the VP of Finance and supports Finance, Human Resources, Compliance, and Facilities operations.

Process and send customer invoices and respond to account inquiries

Perform accounts payable tasks, including invoice reconciliation and vendor communication

Maintain organized company records and documentation

Support administrative and finance-related projects

Provide responsive internal and external customer service

Maintain confidentiality of financial and employee information

Process bi-weekly payroll and maintain accurate payroll records

Review timecards and support payroll-related employee inquiries

Maintain payroll documentation and ensure compliance requirements are met

Assist with onboarding and employee record maintenance

Maintain and organize ISO documentation and records

Support audit preparation and compliance activities

Ensure documentation is accurate, controlled, and accessible

Assist with continuous improvement and document control initiatives

Perform routine inspections and identify maintenance needs

Complete basic repairs, assembly, and general upkeep

Coordinate lawn care, landscaping, snow removal, and seasonal maintenance

Maintain clean, safe, and professional facility conditions

Manage facility supplies and assist with inventory tracking

Proactively address building maintenance needs

Coordinate vendors, service providers, and contractors across facilities

Obtain quotes, schedule work, and monitor completion quality

Maintain vendor records and facility maintenance documentation

Support facility improvement and repair projects

Travel between company facilities as needed

Support inspections, maintenance, and administrative tasks across locations
-
Ensure all sites remain safe, organized, and operational

Respond to facility issues and coordinate resolution when needed

2+ years of experience in administration, facilities coordination, accounting support, or related field
-
Strong organizational and communication skills
-
Proficiency in Microsoft Office and Google Workspace

Ability to manage multiple priorities and work independently
-
Mechanical aptitude and willingness to perform hands-on tasks
-
Strong attention to detail and ability to maintain confidentiality

Valid driver’s license and acceptable driving record

Experience with payroll processing

Accounts payable or invoicing experience

Familiarity with ISO documentation or compliance systems

Experience in manufacturing or industrial environments

Experience with accounting or payroll systems

Forklift certification or willingness to obtain certification

Ability to lift up to 50 lbs
