Administration & Finance Coordinator

Position Overview

The Discovery Center of Springfield is seeking a highly organized and detail-oriented Operations & Finance Coordinator to support the day-to-day administrative, financial, and HR operations of the organization.

This role is essential to maintaining accurate financial records, supporting payroll and employee processes, and ensuring core administrative systems run smoothly. The position focuses on execution and coordination of established processes while working closely with leadership and external partners.

Key Responsibilities

Financial Operations

  • Enter invoices, expenses, and financial data into QuickBooks Online
  • Support accounts payable, including tracking, processing, and documentation of bills and payments
  • Assist with daily revenue tracking and documentation from Veevart
  • Maintain organized financial records and supporting documentation for audits and reporting
  • Coordinate with external bookkeeper on recurring entries, reconciliations, and financial processes

Payroll & HR Administration

  • Support payroll processing through isolved
  • Manage new hire onboarding logistics, including documentation, system setup, and communication
  • Ensure compliance with E-Verify and required employment documentation
  • Coordinate employee benefits enrollment and changes, including communication with providers
  • Process employee separations, including offboarding and COBRA coordination as needed
  • Maintain accurate, organized, and confidential employee records

Administrative Coordination

  • Track and organize receipts, invoices, and internal documentation
  • Maintain internal filing systems and administrative tools (SharePoint, Excel trackers, etc.)
  • Support routine internal communications (staff updates, reminders, and administrative notices)
  • Assist with recurring and seasonal administrative processes (e.g., insurance audits, reporting cycles)

Qualifications

  • 2–5 years of experience in administrative support, bookkeeping, or operations coordination
  • Experience with QuickBooks Online or similar accounting software preferred
  • Strong organizational skills and attention to detail
  • Ability to manage multiple recurring tasks and deadlines with consistency and accuracy
  • High level of discretion when handling confidential information
  • Proficiency in Microsoft Excel and Microsoft 365 tools
  • Strong written and verbal communication skills
