Job responsibilities but not limited to:
- Manage and spearhead student registration. Promptly and actively arrange prospective parents showing initial interest by arranging tours, answering their queries and arranging tours.
- Support the general administration of the school’s front office.
- Monitor and maintain the school email system (the admin email) and reply to any inquiries regarding student and school affairs within 24 hours or sooner if it is of an urgent nature. Responsible for keeping the email database updated in the email system.
- Support the Administrative Office in managing and responding to student-related concerns, such as but not limited to accident reports, early dismissals, tardy arrivals, and the like.
- To design, maintain, and adjust class schedules of teachers and classrooms.
- Coordinate with the Director, Administrative Principal, Finance and HR office, and the Purchasing Officer to update any student information in a timely manner.
- To follow up with initial parent concerns regarding issues in the classroom regarding behavior
- Ensure that all student and office-related information is communicated with all concerned personnel in school promptly.
- Supporting the admin office in daily operations such as, not limited to, answering phone calls, updating student files, and expediting any process or task that needs prioritization as per the needs of the school
- Coordinate schedules for non-curricular activities such as special dress-up days, concerts, parties, etc.
- To support administrative colleagues on their leave days for the smooth functioning of the office.
- Meet regularly with the Director, Leadership, and the Head of Admin regarding concerns parents may have, and report the status quo of the classes accordingly.
- All correspondence with parents concerning parent-school issues and following up with the Academic Leadership for discussions on solutions.
- To support the Administrative Office in the MLS Hot Lunch program and lunch periods to ensure a safe and enriching experience for students.
- To manage and maintain the MLS Afterschool Activities program. Collaborate with the Finance department, leadership and the teachers for successful implementation and smooth running of the program.
- Ensure that all student and office-related information is communicated with all concerned personnel in school promptly.
- Always uphold professional integrity, e.g., discretion, confidentiality, loyalty, and trust.
- Monitor and record safety and security concerns of students during school lunches, after-school activities, and playground activities.
- Work with the MLS Administration Team implementing school policies and procedures.
- To be available by phone or email outside of office hours in case of MOE updates or emergency messages to be sent to parents.
- Makes provision for being available for school functions or other related work outside the instructional day when required under reasonable terms i.e., PTP events, workshops, open houses, recruitment fairs, etc.
- Participate in the MLS appraisal process to develop and enhance skills and practices.
Skills Required:
Strong computer skills. Experience using the Google suite of products. Proficiency in Canva. Ability to correspond fluently in English in an international office. IELTS/TOEFL equivalent of 6.5/93 or above preferred.
