Administrative & Accounting Clerk

We are looking for a reliable and organized Administrative Assistant / Accounting Clerk to join our growing construction company in West Palm Beach! This role is ideal for someone who enjoys both office administration and accounting support. You will assist with daily office operations, vendor invoices, customer billing, payment tracking, and front desk responsibilities while helping keep projects and finances organized.

The ideal candidate is detail-oriented, professional, eager to learn, and able to handle multiple tasks in a fast-paced environment.

Responsibilities

  • Answer phones, greet visitors, and assist with general front desk/reception duties
  • Support daily office operations, filing, data entry, and administrative tasks
  • Process vendor invoices, payments, and company credit card charges
  • Prepare and submit customer invoices and assist with collections follow-up
  • Track incoming and outgoing payments and maintain accurate financial records
  • Maintain organized records of invoices, equipment usage, and project costs
  • Help track company equipment, vehicles, and materials inventory
  • Update equipment and fleet tracking information as needed
  • Assist with allocating fuel and project-related costs
  • Communicate with vendors and customers regarding billing and payment questions
  • Assist with account reconciliations and resolving discrepancies
  • Provide general support to the Accounting and Operations teams

Requirements

  • 1–2 years of administrative, receptionist, accounts payable, or accounts receivable experience preferred
  • Construction industry experience is a plus, but not required
  • Basic to intermediate Microsoft Excel skills
  • Strong organizational skills and attention to detail
  • Ability to multitask and follow through on assignments
  • Professional communication and customer service skills
  • Fluent in English and Spanish (Spanish required)

Pay: $60,000.00 - $65,000.00 per year
