Administrative & Accounting Coordinator

We are a design-build manufacturer of case goods and millwork for the Hospitality Industry with our primary focus on boutique and luxury hotels.

Position Type: Part-Time W-2 (15–25 hours/week), with opportunity to transition to full-time

Reports To: Owner

Position Summary

We are seeking a highly organized and detail-oriented Administrative & Accounting Coordinator to support the day-to-day administrative, bookkeeping, and operational needs of our growing business. This role is ideal for a dependable generalist who enjoys working closely with ownership, managing details, and helping keep the business compliant and running smoothly.

Key Responsibilities

- Submit payroll through ADP and coordinate payroll reporting
- Perform QuickBooks weekly reconciliations and data entry
- Maintain vendor and customer records
- Manage invoicing, accounts payable, and collections follow-up
- Generate basic financial reports (A/R, A/P, P&L)
- Prepare and submit state sales tax filings, franchise tax filings, and annual reports
- Track and manage insurance, license, and bond renewals
- Support limited HR tasks including job postings and onboarding coordination
- Scheduling, calendar coordination, logistics coordination, and import paperwork
- Maintain organized records and compliance calendars

Qualifications

- 3+ years experience in administrative, bookkeeping, or office management roles
- Hands-on experience with QuickBooks (required)
- Experience submitting payroll through ADP or similar platforms (training available)
- Familiarity with small-business compliance and filings preferred
- Strong organizational skills and attention to detail
- Ability to work independently and manage multiple priorities

Schedule & Growth Opportunity

This position will begin as a part-time role (approximately 15–25 hours per week), with flexible scheduling during standard business hours. As the company grows, this role may expand in responsibility and hours, with the opportunity to transition to full-time employment.

Job Type: Part-time

Pay: $30.00 - $40.00 per hour

Expected hours: 15 – 25 per week
