St. Louis Mat & Linen is seeking a highly organized, detail-oriented Administrative & Accounts Receivable Coordinator to join our team. This position plays a critical role in supporting daily business operations, customer accounts, billing, payroll administration, and office management.We are looking for someone who takes ownership of their responsibilities, thrives in a fast-paced environment, and enjoys solving problems while providing excellent customer service.What You'll DoAccounts Receivable & Billing

  • Manage customer accounts and collections activities
  • Contact customers regarding past due invoices via phone, email, and mail
  • Generate weekly service invoices
  • Create monthly and quarterly customer billing invoices
  • Issue customer account statements
  • Process customer payments and maintain accurate payment records
  • Submit and reconcile credit card receipts
  • Process monthly customer payments

Accounting & Financial Support

  • Process daily ACH transactions
  • Utilize merchant processing systems to retrieve and apply payments
  • Enter data into QuickBooks, including linen counts, orders, and account updates
  • Create and maintain journal entries
  • Reconcile bank statements monthly
  • Maintain accurate financial and customer records

Administrative & Office Support

  • File documents and maintain organized records
  • Upload customer contracts and documentation
  • Print invoices, reports, and operational documents
  • Answer inbound customer calls regarding orders, billing, and service issues
  • Collaborate with service and sales teams to resolve customer concerns
  • Support payroll administration and new hire onboarding/orientation

QualificationsRequired

  • 3+ years of office administration, bookkeeping, accounting, or accounts receivable experience
  • Proficiency with QuickBooks
  • Strong Microsoft Office skills, particularly Excel, Outlook, and Word
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities
  • High attention to detail and accuracy
  • Ability to maintain confidentiality and professionalism

Preferred

  • Experience with collections and customer account management
  • Experience in a service-based, route-based, manufacturing, or distribution environment
  • Payroll support or HR administrative experience
  • Associate degree in Accounting, Business Administration, or related field
