St. Louis Mat & Linen is seeking a highly organized, detail-oriented Administrative & Accounts Receivable Coordinator to join our team. This position plays a critical role in supporting daily business operations, customer accounts, billing, payroll administration, and office management.We are looking for someone who takes ownership of their responsibilities, thrives in a fast-paced environment, and enjoys solving problems while providing excellent customer service.What You'll DoAccounts Receivable & Billing
- Manage customer accounts and collections activities
- Contact customers regarding past due invoices via phone, email, and mail
- Generate weekly service invoices
- Create monthly and quarterly customer billing invoices
- Issue customer account statements
- Process customer payments and maintain accurate payment records
- Submit and reconcile credit card receipts
- Process monthly customer payments
Accounting & Financial Support
- Process daily ACH transactions
- Utilize merchant processing systems to retrieve and apply payments
- Enter data into QuickBooks, including linen counts, orders, and account updates
- Create and maintain journal entries
- Reconcile bank statements monthly
- Maintain accurate financial and customer records
Administrative & Office Support
- File documents and maintain organized records
- Upload customer contracts and documentation
- Print invoices, reports, and operational documents
- Answer inbound customer calls regarding orders, billing, and service issues
- Collaborate with service and sales teams to resolve customer concerns
- Support payroll administration and new hire onboarding/orientation
QualificationsRequired
- 3+ years of office administration, bookkeeping, accounting, or accounts receivable experience
- Proficiency with QuickBooks
- Strong Microsoft Office skills, particularly Excel, Outlook, and Word
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- High attention to detail and accuracy
- Ability to maintain confidentiality and professionalism
Preferred
- Experience with collections and customer account management
- Experience in a service-based, route-based, manufacturing, or distribution environment
- Payroll support or HR administrative experience
- Associate degree in Accounting, Business Administration, or related field
