Position: Administrative and Client Operations Specialist

Organization: Southeastern North Dakota Community Action Agency (SENDCAA)

Location: Fargo, ND

Schedule: Full-time, Monday–Friday, 8:00 AM – 4:30 PM

Work Environment: In-person position with occasional local travel

Benefits:

Employee Benefits and Wage: Starting pay $20.61/hr.

Position Overview

Do you enjoy helping others, staying organized, and keeping things running smoothly behind the scenes? SENDCAA is seeking an Administrative and Client Operations Specialist to serve as the welcoming face of our agency and provide essential administrative support that helps our programs thrive.

This position plays a vital role in connecting people to services, supporting staff, and ensuring that our daily operations run efficiently.

Key Responsibilities

Client and Program Support

Greet and assist clients in person, by phone, or by appointment.

Assess needs, make referrals, and provide information on community services.

Maintain accurate client data in CAP60.

Administrative and Operational Support

Manage mail, donations, office supplies, and equipment.

Coordinate IT support, office maintenance, and staff requests.

Assist with scheduling, travel arrangements, and event coordination.

Prepare materials, communications, and social media updates.

Help plan and execute agency-wide events and staff gatherings.

Board and Communication Support

Prepare materials for Board of Directors meetings and coordinate logistics.

Support agency communications, including newsletters and social media.

Collaboration

Communicate proactively across departments.

Build strong relationships with clients, coworkers, and community partners.

Qualifications

Education & Experience

Associate degree or equivalent experience required.

Experience in customer service, social services, or administrative roles preferred.

Skills & Competencies

Excellent communication and interpersonal skills.

Strong organization and attention to detail.

Proficient with Microsoft Office and able to learn new software.

Empathetic, flexible, and professional in all interactions.

Additional Information

This is an in-person position due to client-facing responsibilities. Occasional hybrid work is possible per policy.

Some travel for training or agency needs may be required.
