Overview
Join our dynamic team as an Administrative and Human Resources Assistant, where your energy and organizational skills will drive our administrative functions forward. This vital role requires a high level of skill, knowledge of policies, compliance requirements, accuracy, and confidentiality. Your responsibilities will involve a wide variety of administrative responsibilities, performed both independently and in support of the administrative staff.
Responsibilities
- Serve as the administrative assistant for the organization; greet visitors, vendors, answer multi-phone system and accurately route all calls.
- Open and process all incoming mail and deliveries.
- Coordinate office equipment procurement, order office and custodial supplies, and building furnishings.
- Exercise good judgement in budget forecasting and compliance within areas of oversight.
- Maintain department administrative files/documents according to accepted recordkeeping practices and the Florida General Records Schedule.
- Create and maintain Department forms, documents, SOGs, audio files, required labor law postings, etc.
- Work with appropriate staff to record, prepare, and respond to Public Records Requests in compliance with State Statute and Florida's Government in the Sunshine regulations.
- Organize and maintain the department training/meeting room calendar.
- Prepare all required public notices and legal advertisements in accordance with applicable law.
- Administer the department website and communication dashboards, including adding, revising, creating content, and administering user permissions. Ensure public website compliance with posting required legal and Special District documentation.
- Assist in with employee processing.
- Oversee and order all department uniforms.
- Work on special projects in unison with administrative staff and participate on committees as needed.
- Maintain and properly dispose of department records according to State Retention Guidelines.
- Complete payroll in the absence of the Office Manager.
- Perform related duties as assigned.
- Handle Human Resources/Personnel staff and hiring functions, including application review, interviews, background checks, and all written communications related to new employee hiring, onboarding, and orientation.
- Manage and operate human resources information systems used by the district.
- Administer benefits programs including benefits enrollment, benefits administration, and processing workers' compensation claims to ensure employee needs are met efficiently.
- Assist with compliance initiatives related to employment & labor law, affirmative action planning, and other regulatory requirements.
- Proven administrative experience with strong organizational skills and attention to detail.
- Knowledge of employment & labor law, workers' compensation processes.
- Experience in talent acquisition activities including recruiting, interviewing, and onboarding processes.
- Excellent communication skills withthe ability to handle sensitive information discreetly and professionally.
Pay: $53,000.00 - $55,000.00 per year
