Join our dynamic team as an Administrative and Real Property Research Specialist, where you'll play a vital role in supporting property management and administrative operations. Responsibilities

  • Conduct comprehensive research on real property records, including ownership details, legal descriptions, and transaction histories using various databases and public records.
  • Maintain and update property information in digital systems, ensuring accuracy and completeness.
  • Manage front desk operations, greeting visitors professionally and handling multi-line phone systems with excellent phone etiquette.
  • Support office management tasks such as filing, data entry, document proofreading, and maintaining organized records.
  • Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses related to property management.
  • Coordinate calendar management and schedule appointments for team members or clients efficiently.
  • Provide exceptional customer support by responding promptly to inquiries via phone or email and offering clear, helpful information.

Requirements

  • Proven office experience with strong clerical and administrative skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Experience with QuickBooks or other bookkeeping software is highly desirable.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Strong typing skills and high computer literacy for data entry and document management.
  • Bilingual abilities are a plus to serve diverse client needs effectively.
  • Previous experience in office management or personal assistant roles is preferred.
  • Knowledge of multi-line phone systems, phone etiquette, filing procedures, and general clerical practices.
  • Demonstrated time management skills and attention to detail, including proofreading and data accuracy.
  • Ability to adapt quickly, learn new systems, and work independently in a fast-paced environment.
