Job Title:
Admin Assistant / Admin Executive – Tax Consultancy
Looking For Females and own VISA Preferable
Job Purpose:
To provide administrative and operational support to the tax consultancy team, ensuring smooth day-to-day office management, accurate documentation, timely client coordination, and compliance with internal and external requirements.
Key Responsibilities:1. Office Administration & Support
- Manage day-to-day office operations (calls, emails, scheduling, filing, correspondence).
- Maintain organized records of client files, contracts, tax returns, and legal documents.
- Monitor deadlines for tax filings, submissions, and renewals, ensuring timely reminders.
- Handle incoming and outgoing correspondence with clients, authorities, and vendors.
- Manage stationery, office supplies, and basic IT/office maintenance.
2. Client Coordination
- Act as the first point of contact for client inquiries (phone/email).
- Schedule client meetings and maintain calendars for consultants.
- Collect required documents from clients for tax filings and compliance.
- Assist in preparing engagement letters, invoices, and proposals.
- Track client deliverables and update status reports.
3. Documentation & Compliance
- Prepare, review, and maintain administrative documentation.
- Ensure proper filing of VAT, corporate tax, and other compliance documents.
- Coordinate with auditors, legal advisors, and government departments.
- Assist in notarization, attestation, and submission of official documents.
- Support consultants in compiling data for tax audits and reports.
4. Finance & Billing Support
- Assist in preparing invoices, receipts, and payment follow-ups with clients.
- Maintain records of expenses, petty cash, and office budgets.
- Support accounts team in reconciling tax payments and receipts.
5. HR & Team Support
- Support recruitment processes .
- Maintain employee records and leave management.
- Assist in training arrangements and onboarding new staff.
Skills & Qualifications Required:
- Bachelor’s degree in Business Administration / Accounting / Finance (preferred).
- 1-2 years of experience in administrative or office support role (preferably in consultancy/finance/tax field).
- Knowledge of VAT, Corporate Tax, and compliance documentation (advantage).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Ability to handle confidential information with discretion.
- Ability to handle multitasking and Time management.
