About the role:
We are seeking an Administrative Assistant to support the Client Service Department and its leadership team. This position will provide administrative and operational support to Case Managers, department leaders, and the service department as a whole. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment. Foundational knowledge of tax preparation or tax resolution is a plus, but strong administrative skills and adaptability are key.

This role involves frequent communication with both clients and internal teams to help ensure cases move forward efficiently and departmental operations run smoothly.

Responsibilities:

  • Provide administrative support to the Client Service Department, including Case Managers, department leaders, and other team members.
  • Collect, organize, and review client tax documents such as prior year returns, income records, and expense information.
  • Perform administrative audits to ensure case files are accurate, complete, and properly documented.
  • Monitor case assignments, track progress, and help coordinate workload across the team.
  • Ensure all necessary documentation is received, logged, and uploaded into internal systems for review by Tax Professionals.
  • Maintain accurate case notes, update records, and follow up with clients on outstanding information.
  • Monitor key deadlines and help ensure compliance with filing requirements.
  • Assist in preparing and organizing case files for tax preparation and resolution services.
  • Support department leaders with scheduling, reporting, and other administrative tasks.
  • Coordinate with Enrolled Agents, CPAs, and Tax Attorneys to facilitate timely case progress.
  • Provide flexible support across the department based on shifting priorities and workload.

Candidate requirements:

  • Experience in an administrative, case management support, or tax office environment is preferred.
  • High school diploma required; coursework in accounting, finance, or tax is a plus.
  • Strong communication skills, both written and verbal.
  • Excellent organizational and time management skills, with the ability to meet deadlines in high-pressure situations.
  • High attention to detail and accuracy when handling documentation and data entry.
  • Ability to work independently and prioritize multiple tasks effectively.

Essential Job Requirements:

  • Ability to remain in a stationary position (sitting or standing) for extended periods.
  • Ability to operate a computer and standard office equipment daily.
  • Ability to communicate clearly and effectively, both verbally and in writing.
  • Ability to interact professionally with clients over the phone and by email.
  • Must be able to occasionally lift or move office materials up to 10 pounds.
  • Ability to follow instructions, manage time effectively, and adapt to shifting priorities.

Job Type: Full-time

Pay: $25.00 per hour

Expected hours: 40 per week
