POSITION SUMMARY

The Administrative Assistant is a key operational role that ensures our multi-department alternative healthcare practice runs with precision. This position supports daily operations, manages schedules, oversees patient communication, and maintains a polished front-desk experience. You will also assist with in-house sales and marketing, client education, and digital brand growth.

EDUCATION AND EXPERIENCE

  • High School Diploma or GED required
  • Associate’s Degree preferred (Healthcare, Business, Marketing, or Communications)
  • Bachelor’s Degree is a plus
  • 1–2 years in a customer service or administrative role
  • Experience in medical billing (ICD-10) and insurance verification preferred

OBJECTIVES

  • Demonstrate interest in alternative and natural health
  • Answer and direct calls within three rings
  • Provide excellent customer service and support sales
  • Address patient questions and concerns
  • Greet clients professionally
  • Schedule appointments, team meetings, and Telehealth sessions
  • Actively participate in daily team meetings
  • Maintain accurate client records and communication logs
  • Manage required forms, compliance tasks, and follow-ups
  • Send emails, texts, reminders, and confirmations
  • Verify insurance eligibility and submit claims
  • Process payments accurately
  • Manage inventory and supply orders
  • Sort mail and handle deliveries
  • Maintain an organized, high-standard workspace
  • Prepare the office daily for an exceptional client experience
  • Plan and support company events and internal promotions
  • Create and post social media content
  • Use AI tools to improve daily operations
  • Follow all legal and company policies
  • Remain open to cross-training and growth opportunities

COMPETENCIES

  • Knowledge of healthcare terminology, IV Nutrition, and patient workflows
  • Understanding of basic sales processes in a wellness environment
  • Ability to manage high client volume and stay organized
  • Strong administrative accuracy and detail orientation
  • EMR/CRM experience (Office Ally preferred)
  • Knowledge of customer service and sales support standards
  • Ability to work independently and collaboratively
  • Strong prioritization of daily tasks and performance targets
  • Ability to meet and support company KPIs
  • Proficiency in Microsoft Office and Google Workspace
  • Proven hard skills in social media content creation, scheduling, and analytics
  • Experience with marketing tools (SlickText, MailChimp, Meta Business Suite)
  • Understanding of HIPAA compliance and patient privacy
  • Ability to leverage AI tools to optimize workflow

PHYSICAL REQUIREMENTS

  • Ability to sit for prolonged periods at a desk or computer
