Role Description

This is a full-time, on-site role based in Dubai for an Administrative Assistant. The Administrative Assistant will handle daily tasks that include providing administrative and clerical support, managing communications, organizing schedules, and supporting executives with administrative needs. The role requires attention to detail, strong organizational skills, and the ability to manage multiple responsibilities efficiently.


What You Will Do

  • Manage essential documentation:  Prepare and update contracts, quotations, invoices, and simple presentations.
  • Maintain organized records:  Keep all client folders, documents, deliverables, and payments structured and updated.
  • Handle daily operations:  Manage printing, scanning, filing, and day-to-day office tasks efficiently.
  • Social media support:  Create and post simple on-brand content on the company's and founder’s LinkedIn profiles.
  • Market research:  Track competitor agencies, collect updates, and prepare weekly reports.
  • Business development:  Research new potential clients and build organized lead lists.
  • Team coordination:  Support the team with scheduling, basic coordination, and follow-ups.
  • Project assistance:  Assist in shoot preparation, organizing files, and labeling content.
  • Internal documentation:  Update company templates, SOPs, checklists, and internal documents.
  • Founder support:  Assist the founder with daily admin tasks and reminders.


Who We’re Looking For

  • Minimum 1-2 years of proven experience  in an admin, office support, or similar role  is required.
  • Strong English communication skills  (written and verbal).
  • Highly organized , consistent, and detail-oriented, with the ability to follow systems accurately.
  • Comfortable using Google Workspace  (Drive, Docs, Sheets).
  • A quick learner  with strong attention to detail.
  • Good at research  and structuring information logically.
  • Familiar with basic social media posting  (especially LinkedIn).
  • Able to handle repetitive tasks  with accuracy and a positive attitude.


Preferred Qualifications (Bonus Points)

  • Experience in a previous admin or office support role.
  • Basic understanding of marketing or creative agencies.
  • Comfortable using Notion or similar project management tools.
